Position Overview:
We are seeking a highly organized and detail-oriented individual to join our team as a Secretary for our Retail Department. As the Secretary, you will be responsible for providing administrative support and managing various coordination tasks related to invoices, purchase orders, warehouses, and ensuring timely completion of assigned tasks. The ideal candidate should possess excellent communication skills, strong attention to detail, and the ability to work effectively in a fast-paced retail environment.
Responsibilities:
- Manage and coordinate all administrative tasks related to invoices, purchase orders, and warehouses.
- Receive, review, and process invoices, ensuring accuracy and adherence to company policies and procedures.
- Collaborate with the purchasing team to track and follow up on purchase orders to ensure timely delivery of goods and services.
- Maintain accurate records, both physical and electronic, of all invoices, purchase orders, and related documentation.
- Communicate effectively with internal departments, external suppliers, and warehouses to resolve any issues or discrepancies.
- Monitor inventory levels and coordinate with the warehouse team to ensure proper stock management and availability of products.
- Provide general administrative support, including answering phone calls, responding to emails, and managing office supplies.
Qualifications:
- High school diploma or equivalent, with additional secretarial or administrative training being a plus.
- Proven experience as a secretary or administrative assistant, preferably in a retail or related industry.
- Strong organizational skills and the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills, with a high attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
